What Are Internal Notifications?
Internal Notifications allow your staff to receive automated notification when specific events occur within the system. This feature can help streamline communication across departments. For example, you might configure notifications to notify the admissions officer when a new applicant applies to a particular program, or to notify the finance team when a new student is officially enrolled. This functionality helps ensure that the right team members are informed in real-time, improving responsiveness and operational efficiency.
How to Set Up an Internal Notification Item
- Navigate to Settings> CRM Preferences > Internal Notifications. Click "Create New Notification."
- Enter a title for the internal notification and select whether the notification applies to Contacts or Applicants/Students.
- Define the trigger criteria based on relevant fields or. For Contacts, the criteria can be Contact Type, Log Entry, or Source. For Applicants/Students, the criteria can be Status, Grade, or Tag. We support adding multiple rules and criteria following 'AND' and 'OR' logic.
- Choose if the campaign should "Subscribe only future qualifying recipients." Untick the box if you want to include the contacts or applicants/students who already exist in the system and meet the criteria. Please kindly note that this cannot be changed after the campaign is created. Click 'Save Criteria' to save the criteria you have set up.
- Choose recipients from your OpenApply Staff Directory who should receive the notification.
- Select or Create a Message Template that will be used for the notification. Click 'Send.'
