What Are Email Campaigns?

The Email Campaigns feature in OpenApply allows you to send a series of automated emails—called drips—to contacts, students or alumni who meet specific criteria. This helps streamline your communication efforts, improve follow-up efficiency, and boost engagement with prospective families.

How to Set Up an Email Campaign

  1. Navigate to Settings> CRM Preferences > Email Campaigns. Click “Create New Email Campaign” and select whether the campaign is for Contact, Student or Alumni.
  1. Enter a campaign title. The campaign title is visible only on the admin's side.
  1. Set campaign criteria and define who should automatically receive the campaign based on their profile. You can add multiple criteria and determine if they should follow "AND" or "OR" logic.

  2. Choose if the campaign should "Subscribe only future qualifying recipients." Untick the box if you want to include the contacts, students or alumni who already exist in the system and meet the criteria. Please kindly note that this cannot be changed after the campaign is created
  1. Add Exclusion Criteria. Exclusion Criteria filters out particular subscribers; if a subscriber meets any of the defined exclusion criteria, they are automatically removed from the campaign.
  1. Review the initial subscription list that the system has generated based on the criteria you have defined. You can manually remove a particular recipient if you do not wish to send drip email(s) to them. If you have ticked 'Subscribe only future qualifying recipients' in the previous step, the system will not generate the initial subscription list. You can select a particular user to be the sender that will be displayed on the parent's side when they receive the drip email(s).
  1. Add Email Drips. You can create a new message or choose from your existing templates for each drip. If you have multiple email drips, you can set them to be sent at scheduled intervals.
  1. To run the campaign during a specific timeframe, you may select 'Scheduled date' and set the desired start and end dates. If you'd like the campaign to begin immediately after setup, select 'No scheduled date.'
