Quick answer

To schedule an event for one applicant, open their profile, select the Events tab, choose the Event Type, fill in Date, Host and Campus, then select Add an Event. You can also use Schedule a Tour or Schedule an Open Day under Quick Start on the Dashboard. The family and host are emailed automatically.

Scheduling events for parents in OpenApply

For admins booking tours, open days or interviews for individual applicants and checking what is scheduled.

The event must already be created in your system before it appears as an option.

Schedule from an applicant's profile

  1. Open the applicant's profile and select the Events tab.

  2. Select the Event Type you want to schedule, for example Tour or Open Day.

  3. Fill in the required fields: Date, Host and Campus.

  4. Optional: add a note for the family.

  5. Select Add an Event.

The family and the assigned host receive an email notification about the event.

Schedule from the Dashboard

  1. On the main Dashboard, find the Quick Start section.

  2. Select Schedule a Tour or Schedule an Open Day.

  3. In the panel that opens, enter the student's name, the event, the number of attendees, the host and the campus.

The host and the family are notified by email unless you have specifically disabled this setting.

View all scheduled events

  • All your scheduled tours, open days and interviews appear in one calendar on your Dashboard.

  • Colours show the event type, for example green for tours and blue for open days.

  • If several events are on the same day, the calendar shows the number of events next to the date.
