Checklist Analytics in OpenApply makes it easy to see which tasks have been completed and which are still pending across all your applicants. This tool helps your team stay on top of outstanding items and keep the admissions process running smoothly.

 

Navigating and Filtering Your Data

The Analytics > Checklist section displays a comprehensive list of all checklist items created across your school’s programmes. Since the checklist analytics view is separated by programmes, it’s necessary to always use the filter to switch between them. This ensures you’re viewing the correct set of applicants. From there, you can also apply the other available filters to focus on a specific group of applicants.

  1. Academic Year Selection: The academic year filter is crucial for making sure your report is accurate and focused on the correct time period, preventing a cluttered view.
     
  2. Filter Section: On the top-left, a dedicated filter section allows you to narrow down the data. Selecting a programme updates the checklist automatically. Other filters available to you include enrolment grade, status, tags, and representative date range.
     
  3. Chart Menu and Download Options: Located under the filter tab, the chart menu provides a convenient way to download your current view in various formats, including PDF, JPEG, CSV, and XLS.
     

  4. Copy Link feature: Once you have applied your desired filters, the Copy Link feature allows you to copy the specific selection and share a link with your colleagues. This link will save all the filters and settings you applied, ensuring that anyone who clicks it sees the exact same data. This is a valuable tool for collaboration and consistency across your team.
     

 

Tracking and Sending Checklist Reminders

The Analytics section allows you to visually track checklist completion and sending reminders to follow up with families.

After applying your filters, a bar chart illustrating the completed and pending statuses will be displayed for each checklist item. This visual representation helps you quickly spot applicants who still have pending checklist items.

Clicking the colored area will instantly generate a list of those students at the bottom of the page. From there, you can select and send a checklist reminder to all of them, which simplifies the process of following up on pending Checklist items.
