Dashboard Analytics

From the Dashboard, you can view your Applicant Pipeline and easily track:

1. Monthly Conversion Rates (i.e. # Inquiries vs. # Applicants)

2. Daily applicant counts for the current month

3. Whole School Enrolment numbers by month

4. Open Day RSVPs and scheduled Tours and Interviews

You may use these buttons to compare data:

YTD: Year-To-Date: Compare current numbers with those from the first day of the Academic Year.

YoY: Year-over-Year: Compare current numbers with those from the same day last year.

MoM: Month-over-Month: Compare current numbers with those from the same day last month.

These three options only affect the percentage text shown below. They do not update the charts themselves. Hover over the individual buttons and numbers for explanations.
 


Understanding Academic Years on the Admin Dashboard

The way academic years function on the Admin Dashboard differs slightly from how they are used elsewhere in the system.

On the dashboard, you can only select the current or previous academic years. This is because the dashboard reflects the academic year in which applicants submitted their applications, not the academic year they are applying for.

For example, the Enquiries & Conversions chart displays how many families enquired or applied during each month within the selected academic year. However, these applications could be for any academic year.

To maintain accurate reporting, the dashboard only allows selection up to the current academic year. You can also view previous years to easily compare trends and performance over time.

Understanding Enquiries in OpenApply

The Enquiries chart displays the number of enquiries submitted each month. In OpenApply, an enquiry refers to anyone who begins the admissions process. This includes users who go directly to the application form—regardless of whether they complete it—since all users are initially registered as an enquiry in the system.

Even if a parent begins filling out the application form right away, they are first recorded with an "Enquiry" status. This status remains until the application form is completed and submitted.

Once the application is submitted, the status automatically updates to Applied, and this action is recorded as a conversion in the chart.

This chart helps you track:

  • How many families started the admissions process (Enquiries)

  • How many submitted an application (Conversions)

Each data point is based on the date the action occurred.
For example, in September, there may be 49 enquiries and 15 applications submitted, meaning 15 families completed the application process that same month.
