Quick answer

The admin Dashboard shows monthly conversion rates, daily applicant counts for the current month, whole school enrolment by month, and open day RSVPs with scheduled tours and interviews. Use YTD, YoY and MoM to compare the percentage figures with earlier dates.

For admins who use the Dashboard to track the applicant pipeline.

What the dashboard shows

The numbers match the screenshot below.

  1. Monthly conversion rates (number of enquiries compared with number of applicants).

  2. Daily applicant counts for the current month.

  3. Whole school enrolment numbers by month.

  4. Open day RSVPs and scheduled tours and interviews.

Compare with earlier dates

Button Compares current numbers with
YTD (year to date) The first day of the academic year
YoY (year over year) The same day last year
MoM (month over month) The same day last month

These buttons only change the percentage text below them. They do not update the charts. Hover over a button or number to see an explanation.

Academic years on the dashboard

Academic years work slightly differently on the Dashboard from the rest of OpenApply. The Dashboard uses the academic year in which applicants submitted their application, not the academic year they are applying for.

For example, the Enquiries & Conversions chart shows how many families enquired or applied in each month of the selected academic year. Those applications could be for any academic year.

To keep reporting accurate, you can only select the current or previous academic years. Use previous years to compare trends and performance over time.

How enquiries and conversions are counted

The Enquiries chart shows the number of enquiries submitted each month. In OpenApply, an enquiry is anyone who starts the admissions process. Everyone is first registered as an enquiry, including families who go straight to the application form, whether or not they finish it.

  • A family keeps the Enquiry status until they complete and submit the application form.

  • When they submit it, the status changes automatically to Applied and the chart records a conversion.

So the chart tracks how many families started the admissions process (enquiries) and how many submitted an application (conversions). Each data point uses the date the action happened. For example, September might show 49 enquiries and 15 applications submitted, meaning 15 families completed the application process that month.
