Adding and editing fields on forms

Quick answer

Go to Settings > Forms and open the form. Select + Add Field to create a field, then drag it onto the form. To change a field, double-click it on the form. To take it off the form, select the red circle. Removing a field keeps its data.

Adding and editing fields on forms

OpenApply comes with 280 default fields. You can add them to any form, edit them, or create your own custom fields.

Add a new field

  1. Go to Settings > Forms and open the form.

  2. Choose where the field belongs. For an applicant field, select the green + Add Field button on the left. For a parent field or another group, select the group name first, then + Add Field.

  3. Fill in the field details (see the table below). Fields marked with a red asterisk are required.

  4. Select Save Changes.

  5. Drag the new field from the list on the left and drop it where you want it on the form.

Grouped fields, such as parent fields, must stay together on the form.

Field settings

Setting What it does
Field Type The kind of answer, for example single-line text or a dropdown menu
Short Name The field's name in the database. It must be unique
Field Label The name parents see on the form
Field Label Translation A translation shown under the label. In the Chinese interface it replaces the label
Instructions Guidance for parents on what to enter
Required Yes means parents must complete it before submitting. No lets them skip it
Office Use Hides the field from parents, for staff use only
Read Only Parents can see the value but cannot change it
Default Value Pre-fills the most common answer. For date fields, sets the month and year the date picker opens on
Conditional Fields Shows the field only when another field has a certain answer. Select Add Rule. See conditional fields
Which custom field types can I create?
Type Use it for
Single-line text A short answer of one phrase
Multi-line text A longer answer of several sentences
Dropdown menu Pick one option from a long list
Checkboxes Pick several options from a list
Multiple choice Pick one option from a short list
File upload Upload a file to the form
Date A date picker, so every date uses the same format
Year Pick a year from a list
URL A clickable link
Email address A valid email address
Number A whole number up to 19 digits
Decimal A number with decimals
Terms Agree to terms and conditions
Signature An e-signature with a date stamp
Phone number A valid phone number with country code

Edit a field

  1. Go to Settings > Forms and open the form.

  2. Select the field in the list on the left and choose Edit Field, or double-click the field on the form.

  3. Make your changes and select Save Changes.

Fields are shared across forms. Changing a field's label or options changes it on every form that uses it.

Remove a field from a form

  1. Go to Settings > Forms and open the form.

  2. Find the field on the form and select the red circle on its right.

  3. Select OK.

Removing a field only takes it off this form. The field and any answers already collected stay in OpenApply. Add the field back to see that data again.
