Quick answer

A student profile shows the form for the student's current stage in the centre, key details and action icons in the blue panel at the top, and status, family and history details in the right panel. Select MORE in the blue panel to see the student's other forms.

For admins who need to find information and actions on a student profile.

The central section shows the form that matches the student's current stage:

  • Enquiry Form: students at the initial enquiry stage.
  • Application Form: students who have submitted an application.
  • Event Registration Form: students registered for an event.

If a student has submitted or started the application form, the profile automatically shows their Application Form.

Blue information panel

The blue panel at the top of the profile shows key student information at a glance.

  • Student photo, name and national flag: the student's photo, full name and a flag for their nationality.
  • CRM details: if your school uses the CRM module, details such as source campaign and lead score appear here.
  • Tags: any tags assigned to the student, for example staff child or EAL.
  • IDs:
    • Applicant ID: generated automatically when a new applicant is created.
    • Student ID: must be entered manually by an admin.
    • PowerSchool ID: shown only if your school is integrated with PowerSchool.
  • MORE: select MORE at the bottom right of the panel to open other forms for the student.

Use the icons in the panel to take action from the profile:

  • Current status and status level: the student's progress in the admissions or enrolment pipeline. If your school uses status levels, they appear alongside the main status.
  • Enrolment start date: the date the student actually starts attending, as distinct from the date they were marked Enrolled. This field appears only after the student has been marked Admitted.
  • Enrolment grade: the grade the student joins the school in. It is taken automatically from the Grade field in the Application Form. For example, a student who applies for Grade 6 keeps Grade 6 as their enrolment grade even after moving up to Grade 7 or 8.
  • Student's representative (if assigned): the assigned representative, such as an admissions counsellor managing the application.
  • Feeder school reference status (if enabled): the status of a feeder school reference requested during admissions. Visible only if the Feeder School Reference module is enabled.
  • Student's agent (if assigned): the external agent helping the family with the application, often in international or agency-driven admissions.
  • Audit log: a timeline of changes to the student's core details, such as status changes (for example Applied to Admitted), application form submissions and edits to personal information like name or address.
  • Re-enrolment (if enabled): the student's re-enrolment history across academic years, showing whether they confirmed or declined each year.
  • Siblings: other students in the same family group.
  • Parents/Guardians: the parents or guardians linked to the student, with contact details and their relationship to the student.
  • Applicant history: a timeline of the student's status changes. If statuses are out of sequence or do not match the student's enrolment year, this section shows a broken history.

For examples of valid applicant histories, see Editing Status History. For common causes of broken history and how to fix them, see Fixing Broken History.
