After re-enrolment and transitioning students, review five areas: academic years (Settings > School Settings > Academic Information), age to year validation (Settings > Admissions > Programmes), annual forms (Settings > Forms), the checklist (Settings > Admissions > Checklist) and, if you use it, PowerSchool dates.

Preparing for a new academic year

For admins getting OpenApply ready for the start of the school year.

Do these steps after you have completed the re-enrolment process and transitioned students to their next grade levels.

1. Manage academic years

  1. Go to Settings > School Settings > Academic Information.

  2. Disable previous academic years to keep the system organised and prevent accidental selections.

  3. Enable any new academic years if you plan to accept enquiries or applications for future enrolment periods.

2. Update age to year validation

  1. Go to Settings > Admissions > Programmes.

  2. If you use age to year level validation on your forms, in either Suggested or Restricted mode, update the Date of birth to update the Age.

3. Review annual forms

  1. Go to Settings > Forms.

  2. Check your yearly forms, such as Supplementary Forms that collect updated student details for the new year.

  3. Make sure each form has your latest rules, the correct dates and any new questions for the coming year.

4. Adjust checklist items

  1. Go to Settings > Admissions > Checklist.

  2. Review and update submission deadlines and required documents.

  3. Make sure the correct annual forms are linked, and adjust their visibility.

5. PowerSchool (optional)

If your school uses the PowerSchool integration, update the Entry and Exit dates at Settings > Integration > PowerSchool.
