Questions from the webinar

Where can I access the OpenApply demo site?

Go to https://demo.openapply.com. Use it to try out anything you do not want to change on your own OpenApply site first. The demo site resets every hour.

If you need the password for the demo site, submit a request.

Do reviewers have to be in the system already?

Yes. You must first add reviewers as admin users in Settings > Staff Directory. See Creating your Staff Directory and Managing Users.

Can I add a reviewer who only sees their reviews and nothing else in OpenApply?

Reviewers must be added as admin users. You can add them as read-only users and limit their permissions so they can only access the admin dashboard. They will then only see the dashboard and the reviews assigned to them.

Can EAL or SEN teachers review only the applicants they test?

Use tags or office use fields to identify which applicants need EAL or SEN review. See:

To limit EAL or SEN teachers to the applicants they test:

  1. Add them as reviewers in Settings > Admissions > Review Mode, but disable them for all programmes and campuses so they are not automatically included in reviews. See adding reviewers and enabling them for certain programmes.

  2. Add them as reviewers for individual applicants when needed, by enabling the applicant for review from the applicant profile. See enabling an applicant for review.

Can I send a waitlisted applicant for review again?

No. Only applicants with the Applied status can be reviewed. You can:

  • Undo the Waitlisted status temporarily to put them back to Applied, then change the status to Waitlisted again once the review is updated.
  • If they are being reviewed for a different academic year, follow the process for declined applicants who reapply (see the next question).

If the review was already completed, reopen it from the applicant profile by selecting to add reviewers again.

How do I handle applicants who were declined and reapply?

See handling the statuses of applicants reapplying for a different academic year. Once they have the Applied status again, you can reopen a completed review from the applicant profile by selecting to add reviewers again.

When I resend review notifications, are reviewers who have finished notified again?

No. Only reviewers who have not yet completed their review are notified.

Which document types does Vantage Reader support?

You can view and annotate Word and PDF documents. You can view JPG and PNG images, but you cannot annotate them.

If you want to use annotation, update the text in your checklists or forms to ask parents to upload Word or PDF files.

Can I upload and mark admissions tests in review mode so other reviewers see my comments?

Yes.

  1. Upload the test as a Word or PDF file from the Files tab on the applicant profile.

  2. Add yourself as the first reviewer.

  3. Annotate the test with Vantage Reader to mark it. See using Vantage Reader.

The other reviewers can then see your annotations.

Can an admin see all outstanding reviews for one reviewer?

No, this is not currently possible. Instead:

  • Each reviewer can see their own outstanding reviews on the Application Review tab of the admin dashboard.
  • Admins can open an applicant profile and enter review mode to see which reviewers have completed their part.
  • Admins can see which applicants have all reviews completed using the Review Status column on the applicants roster.
