Summary

OpenApply can now push a student's health information directly into the matching records in your school's iSAMS Medical Centre. Instead of keeping medical details in OpenApply and re-typing them into iSAMS, admissions and health staff enter the data once in OpenApply and let it flow automatically into iSAMS.

Supported sync flows:

  • Vaccinations — immunization records (dates, types, and details) sync into the iSAMS Medical Centre as vaccination records.
  • Conditions — health conditions such as allergies and other medical conditions sync as iSAMS condition records, including details like severity, triggers, and treatment.
  • Medication — medication records sync into iSAMS, including type, dose, location, and supplier.
  • Doctor — a student's doctor name is matched to a doctor already registered in iSAMS and assigned to the student.
  • Medical documents — documents and files uploaded in OpenApply can be routed into the iSAMS Medical Centre documents area (rather than the general iSAMS document store), tagged with an iSAMS medical document category and sensitivity.

 

What's New

All of the new controls live on a new "Medical Centre" tab on the existing iSAMS settings page in OpenApply admin (Settings › Integrations › iSAMS), added alongside the existing tabs (Settings, Student Custom/Core Field Mappings, File Syncing, Passports, Visas, etc.).

The tab contains:

  • A master "Enable Medical Centre sync" toggle. Nothing syncs until this is switched on.
  • Separate configuration sections for Vaccinations, Conditions, Medication, and Doctor.
  • Configurable field mappings for each area. Rather than a fixed list, admins build the mappings by adding mapping groups (e.g. "Add Vaccination Group", "Add Condition Group") and choosing which OpenApply field feeds each iSAMS field. Vaccinations map from the Immunization Record grouped fields; Conditions, Medication, and Doctor map from the Health Information grouped fields.
  • Dropdowns populated live from your school's own iSAMS setup — iSAMS vaccination types, condition types, medication types, medication locations, and medication suppliers are fetched from iSAMS so the options always match that school's configuration.
  • A save button to store the configuration.

Every sync area is switched off by default and must be enabled deliberately.

 

Getting Started

  1. In OpenApply admin, open the iSAMS settings page and confirm your iSAMS connection (subdomain, Client ID, and Secret) is already configured and working.
  2. Make sure the OpenApply student fields you want to sync are populated — vaccination data comes from the Immunization Record grouped fields; conditions, medication, and doctor data come from the Health Information grouped fields.
  3. Open the new Medical Centre tab and switch on Enable Medical Centre sync.
  4. In each section (Vaccinations, Conditions, Medication, Doctor), add and configure the field mappings you want — choosing the OpenApply field for each iSAMS field.
  5. Where a section offers an iSAMS type/location/supplier dropdown (vaccinations, conditions, medication), select the matching iSAMS value from the live list. Required mappings must be completed before that mapping will sync.
  6. Save the configuration.
  7. From then on, whenever those fields are saved for an enrolled student, OpenApply pushes the update to iSAMS. Any problems are recorded in the existing iSAMS sync error log against the student.

 

Clarifications

  • This is only relevant to schools with an active iSAMS integration.
  • One direction only. Data flows OpenApply → iSAMS. Nothing is pulled from iSAMS back into OpenApply.
  • Enrolled students only. Only students who are enrolled and already exist in iSAMS (i.e. have an iSAMS ID) are synced. Applicants are skipped.
  • Everything is opt-in. Medical Centre sync is off by default, and each mapping is configured deliberately. Nothing syncs until you enable it and set up the mappings.
  • Blank data is skipped. If there's nothing to send for a student in a given area, OpenApply does not write to iSAMS for that area.
  • Create or update. If a matching record already exists in iSAMS it is updated; otherwise a new one is created.
  • Doctors must already exist in iSAMS. The doctor sync matches the OpenApply doctor name to a doctor already registered in iSAMS. If there's no match, that student's doctor is skipped rather than failing — OpenApply does not create new doctor records in iSAMS.
  • iSAMS types are school-specific. The type/location/supplier dropdowns come from your own iSAMS setup and differ from school to school; you must select them as part of configuring the mappings.
  • Emergency contact (SOS Pupil Contacts) sync is NOT included. Emergency contacts continue to be handled by the existing behavior only.
  • Other iSAMS Medical Centre areas are NOT included: Consents, Notes, Visits, Inventory, and BMI are currently out of scope.
