As a new academic year approaches, it is important to ensure your OpenApply account is properly set-up. After completing the Re-Enrollment process and Transitioning the students to the next grade levels, you may follow the steps outlined below. These steps will help you review and update your settings, forms, and programs to ensure everything is ready for the start of the school year:
1. Managing Academic Years
Navigate to Settings > School Settings > Academic Information. Here, you can disable previous academic years and keep your system organized and prevent accidental selections. You can also enable any new academic years if you plan to accept enquiries or applications for future enrollment periods. 2. Age to Year Validation
Navigate to Settings > Admissions > Programmes, and if you're using the Age to year level validation on the forms in either Suggested mode or Restricted mode, you may want to update the Date of birth to update the Age. For more information on this, please refer to our help guide here.
3. Review and Update Annual Forms
Navigate to Settings > Forms to check and update your yearly forms. This includes forms like Supplementary Forms, which you use to get updated student details for the new school year. Make sure these forms show your latest rules, correct dates, and any new questions for the upcoming year. This helps you gather the right and most up-to-date information from all students.
4. Adjust Checklist Items
To update or adjust any linked checklist items for the new academic year, you can go to Settings > Admissions > Checklist. This typically involves reviewing and modifying submission deadlines, updating required documents, ensuring the correct annual forms are linked, and adjusting their visibility, ensuring an accurate and efficient admission process for the upcoming year.
(Optional) If your school has PowerSchool integration, you would need to update the Entry and Exit dates in the PowerSchool integration settings by navigating to Settings > Integration > PowerSchool
