Quick answer

You see "Email has already been taken" when you update a parent's email in the Applicant Profile and that address already belongs to another parent. Each parent in OpenApply must have a unique email address. Search for the email in the Families Roster (and under Orphaned Parents) to find who has it, then merge, correct or remove the other record.

For admins who see this message when updating a parent's email address in the Applicant Profile.

Why you see this message

The email address you entered already exists for another parent. In OpenApply, each parent must have a unique email address.

  2. Check who the email belongs to:

    • A different parent: contact the parents, find out their correct email address and update it for the existing parent if needed.

    • The same parent (a duplicate): link the siblings and merge the duplicate parents. See Linking Siblings.

Check Orphaned Parents

If you cannot find the email in the Families Roster, it may belong to an orphaned parent.

  1. In the Families Roster, select Orphaned Parents.

  2. Search for the email address.
