Open the applicant profile, select the Notes tab, select Mark this as an internal note, enter your note and select Add Note. Families do not see internal notes. Colleagues you add in Cc: get an email and can reply.

Adding and responding to an internal note
For admissions staff who record conversations and share updates with colleagues on an applicant profile.
Use internal notes to document verbal conversations, share updates with colleagues and keep a history of internal communication on the applicant profile. You can attach files to a note and reply to existing notes.
Add an internal note
Applicant Profile > Notes
Open the applicant profile and select the Notes tab.
Select Mark this as an internal note.
To notify colleagues by email, select them from the Cc: dropdown.
Enter the note in the text box.
To attach a file, select Attach File.

Select Add Note to save the note.
If you do not select anyone in Cc:, the note is saved to the applicant profile but nobody is notified by email.
View internal notes
Applicant Profile > Latest Activity > Filter > Comment
Go to the Latest Activity section of the applicant profile.
Select Notes from the dropdown menu.

Review the notes shown. These include both internal and external comments.
Reply to an internal note
Applicant Profile > Latest Activity > Internal Note Reply
Hover over the internal note to show the available actions.

Select the Arrow icon to reply.

Select colleagues to Cc if needed, enter your response and select Reply.
Keep applicant conversations documented in one place. Add colleagues to Cc only when they need to know, and include enough detail for others to understand the context.
Frequently asked questions
Who can see an internal note?
Users who have access to the applicant profile. Internal notes are for internal school communication.
Does adding a Cc recipient always send an email?
Yes. Colleagues selected in Cc are notified by email when the internal note is added.
Can I attach files to an internal note?
Yes. Select Attach File when you create the note.
